Summary:

 

Operates multiline telephone system to answer incoming calls and directs callers, greets customers and visitors and directs to appropriate personnel and supports office staff by performing the following duties

Duties:

  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department
  • Answers questions about organization and provides callers with address, directions, and other information as necessary
  • Update and maintain MLS
  • Create listing entry for all properties listed for sale, send communication to sellers, and link to syndicated sites
  • Work on specific projects assigned weekly, monthly and quarterly.
  • Create recruiting packets, listing/buyer packets, and update form drawers
  • Create and maintain schedules
  • Supports Agents by answering questions and providing training relating to technology and communicating office procedure information. Provides information about MLS, rentals and tenant screening, marketing, IT and directing agents to appropriate department when needed
  • Receives, sorts, and routes mail, maintains and routes publications while communicating with the messenger service, coordinate inter-office deliveries
  • Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes
  • Performs other clerical duties as needed, maintaining files, photocopying, scanning and collating

Summary:

@properties is seeking an organized and responsible Project Coordinator to assist in the planning and execution of operational and technical projects. The Project Coordinator will report to the Project Manager and work with internal and external stakeholders to document, organize and implement new and exciting company projects. To succeed in this role the candidate should have excellent time management, organizational, and both written and verbal communication skills. Duties:

  • Organizing, attending and participating in stakeholder meetings with Project Manager
  • Preparing necessary presentation materials for meetings
  • Liaise with stakeholders to identify and define requirements, scope and objectives
  • Documenting notes and following up on important actions and decisions from meetings
  • Maintain comprehensive project documentation and plans
  • Breakdown projects into doable actions and with timeframes
  • Monitor current projects progress and coordinate with team members involved to keep workflow on track and handle issues as they arise
  • Work with the Project Manager to eliminate blockers
  • Undertaking project tasks as required
  • Track, analyze and communicate project risks and recommend improvements
  • Make sure that stakeholders’ needs are met as projects evolve

Summary:

Provide desktop support and assistance with internal company systems for users across multiple @properties offices
across the Chicagoland area. This client facing role requires current computer technician experience for PC and Mac,
Office 365 & Exchange, active directory, printer and wireless experience, in addition to excellent interpersonal and
communication skills, with a focus on superior customer service. This role requires personal transportation.

Duties:

  • Serve as Help Desk Administrator for assigned @properties offices
  • Provide on-site support to agents and @staff for assigned @properties offices, including after hours as required
  • Provide one on one support to new and existing agents, assisting with agent transition process
  • Serve as back-up to other offices as needed
  • Resolve issues with printers, wireless setup, email connectivity, company computers and peripheral devices (smart phones/tablets etc.) on multiple platforms and all other IT related needs at assigned @offices
  • Monitor and resolve IT Help requests in ticketing system as well as via email, telephone and in person engagement with @agents
  • Migrate agents from the Exchange Server or Gmail to Office 365. Train agents on the Outlook/OWA interface
  • Solve or assist users in solving, non-routine or complex software, hardware, and procedure problems
  • Brainstorm with team members to resolve more complex problems and escalate difficult issues to Director
  • Perform initial program load and user-specific setup for standard desktop applications
  • Support @staff by setting up workstations to connect to network, email, printers, file sharing, fax and scanners at assigned offices.
  • Perform various IT related tasks for operational processes as needed
  • Keep abreast of all software updates and new programming features
  • Understand syndicated sites, the various external partners and assess any problems with the listing life cycle on the web site
  • Learn the various @properties internal tools and assist agents with questions/troubleshooting issues
  • Coordinate installation of hardware/software and implementation of procedure changes
  • Provide recommendations on FAQ updates
